What are we doing with your data?
Stray Cat Rescue keeps minimal personal data in order to process memberships, sponsorships and adoptions. We never retain your bank details once they have been passed to the bank to set up a Standing Order or Direct Debit. We do not pass your details onto third parties for mailing lists, but we may share your information with specific third parties such as: microchip companies when we register your adopted pet’s microchip, banks where standing orders and direct debits have been set up, veterinary practices where we have agreed treatment for your adopted cat/kitten, and when compelled to do so for legal investigation.
How long will we hold your details for?
It is a HMRC legal requirement to hold Gift Aid information for 6 years, plus the current year (a total of 7 years), from the last payment made. This means that should you continue to donate; the 7 years is a moving retention date.
Any forms associated with adoption and animal intake are retained for 7 years. Contact details of members, adopters, sponsors and shelter friends and volunteers are stored on our mailing lists. All information we hold is stored securely, whether on a computer, or on paper, and destroyed appropriately when required. Apply to find out what data we are holding on you in writing by making a Subject Access Request. We will reply to requests within 40 days.
You can choose to Opt-Out of our records and mailing lists at any time by emailing [email protected]. However, there are instances where we cannot comply for example, where data is required to be held within a data retention period, or where removal will prevent you from receiving in-part or in-whole the benefits of your membership or sponsorship package. We will confirm to you the extent of data that we have been able to remove.

Members
We retain your contact details for the duration of your membership and will communicate with you via email and/or post to fulfil the benefits of your membership package. This may include our cat newsletters and cards being posted to you, invitations to exclusive members’ only events, as well as renewal notices. If your membership lapses or is cancelled you will remain on our general mailing list, but you are welcome to Opt-Out of this mailing list at any time by emailing: [email protected], or by responding to the most recently sent email with your request. If you choose to Opt-Out of communications during the term of your membership period, we will be unable to fulfil the benefits of your membership package and will have to cancel it. Sponsors & Corporate Sponsors
We retain your contact details for the duration of your sponsorship and will communicate with you via email and/or post to fulfil the benefits of your sponsorship package. This may include our cat newsletters and photos, along with invitations to exclusive sponsor only events, as well as renewal reminders. If your sponsorship lapses or is cancelled you will remain on our general mailing list but are welcome to Opt-Out of this mailing list at any time by emailing: [email protected], or by responding to the most recently sent email with your request. Adopters
Adopters are automatically given membership for up to a year from the date of adoption. Adoption paperwork and associated documentation is retained securely for 7 years, at which point it is appropriately destroyed.
